In Explorer, click the small status menu in the Status column for the item, then choose Completed or Pending Action. Both are manual statuses — neither happens automatically. Completed tells Remindax the item is done; Pending Action flags an item still needing follow-up. For multiple items, select them and use the bulk status dropdown. You need the Explorer Update permission.

Before you start

  • You need Administrator access or the Explorer Update permission.
  • Decide whether you want Completed (the work is finished) or Pending Action (still needs follow-up).
  • Both are manual statuses — they only change when a person picks them, or when a date change resets the item to the system-calculated status.

Steps — single item

  1. Find the reminder in Explorer.
  2. In the Status column, click the small status menu shown on the row.
  3. Choose Completed or Pending Action.

The status updates immediately.

Steps — bulk

  1. In Explorer, tick the checkboxes for multiple items.
  2. Use the bulk status dropdown in the toolbar that appears above the table.
  3. Choose Completed or Pending Action for all selected items.

Completed vs Pending Action

Both are manual overrides on the normal reminder lifecycle (Upcoming → In Process → Expired). They behave differently:

  • Completed — the work is done. Remindax treats the item as completed instead of continuing the normal lifecycle. Notifications stop. The item contributes to Compliance % as completed. Use this for "renewed and we're moving on."
  • Pending Action — the item still needs follow-up from your team. Use this when an item is expired or stuck and you want to flag it as needing attention. It's a way to surface items that aren't done but need work.

Either status stays until someone manually changes it again, OR until a date field on the reminder is changed (see below).

When manual status resets

If you change the reminder's expiration date, due date, appointment date, or event date, Remindax resets the item's status back to the system-calculated status (Upcoming / In Process / Expired, based on the new date).

This is intentional — a date change usually means the item has a fresh lifecycle to follow. If you wanted to keep the manual status, you'll need to re-apply it after the date change.

Editing other fields (title, recipients, document type, notes) doesn't reset the manual status — only date changes do.

What Completed does NOT do

  • It doesn't auto-renew the item. To create a renewed item, use Duplicate a reminder.
  • It doesn't delete the item. The reminder is still in Explorer, just marked complete.
  • It doesn't retract already-sent notifications. Past sends are unchanged.
  • It isn't automatic for expired items. Expired items don't auto-complete; they stay Expired until you manually mark them Completed.

What happens next

  • The status changes immediately in Explorer.
  • Compliance % updates on the Dashboard. See Compliance % explained.
  • No further notifications fire for that item until/unless its status returns to the normal lifecycle.

Edge cases & gotchas

  • Both Completed and Pending Action are manual. Remindax doesn't move items into them automatically — expired items don't auto-complete, late items don't auto-go to Pending Action.
  • Changing a date resets manual status. This is the most common surprise. If you marked something Completed and then change its date, you need to re-mark it.
  • Bulk status changes work. Use the bulk action toolbar after multi-selecting items.
  • The status menu lives in the Status column of the Explorer row, not in a separate action menu.
  • You can't bulk-change status from outside Explorer. Reports and Calendar are read-only for status.
