Go to Manage → Contacts, download the import template, fill it in (First Name, Last Name, Email, Country, Mobile Number, optional Email CC), and upload. The group all imported contacts go into is the group currently selected in the Contacts view — there's no Group column in the template. Each row needs a name AND at least one contact method (email OR mobile). Rows missing those are skipped.

Before you start

  • You need Administrator access or the relevant Contact import permission.
  • Make sure you're on the right group in the Contacts view before starting — imported contacts go into the currently selected group. If you want them in a specific group, select it first.
  • Have your contact list in a spreadsheet or be ready to fill in the template.
  • Mobile numbers should include country codes if you'll use SMS or WhatsApp later.

Steps

  1. Go to Manage → Contacts.
  2. (If you want imports to go into a specific group) Click into that group first — Manage Groups → select the group → return to Contacts. The currently selected group is where the imported contacts land.
  3. Open the import action and download the import template.
  4. Fill in your contacts in the template. The template's columns are:
    • First Name
    • Last Name
    • Email
    • Country
    • Mobile Number
    • Email CC (comma seperated) — yes, with that exact spelling
  5. Save your file (Excel format).
  6. Upload via the import action in Contacts.
  7. Review the preview — fix any flagged rows in your file, re-upload until clean.
  8. Confirm the import.

Template columns explained

  • First Name, Last Name — both required. A contact must have a name.
  • Email — required if no Mobile Number is provided (and vice versa). Every contact needs at least one contact method.
  • Country — meaningful for matching country codes when SMS/WhatsApp routes messages.
  • Mobile Number — include the country code (e.g., +971..., +1...) if you'll use SMS or WhatsApp.
  • Email CC (comma seperated) — optional. List of email addresses to CC when this contact receives a reminder. Up to 5 CCs per contact. (Note: this is per-contact CC, separate from per-reminder CC — see Assign recipients on a reminder.)

Required fields per row

For Remindax to accept a row:

  • First name + Last name must be present.
  • AND at least one of email or mobile number must be present.

Rows missing either name fields or both contact methods are skipped by the importer.

Group assignment — important

There is NO Contact Group column in the import template. Group assignment is NOT in the spreadsheet — it comes from the group you have selected in Contacts when you start the import.

So if you want all imported contacts in a specific group:

  1. First select that group in the Contacts view.
  2. Then run the import — every imported contact goes into that group.

If you have contacts that should go into different groups, you'll need to run separate imports for each group.

Alternate column names accepted

The importer also accepts these alternative column header names, so existing spreadsheets often work without renaming:

  • For first name: First Name, Firstname
  • For last name: Last Name, Lastname
  • For email: Email, Email Address
  • For country: Country, Country Name, Country Code
  • For mobile: Mobile Number, Mobile, Phone Number
  • For CC: Email CC, Email CC (comma seperated), CC, CC Emails

If your file uses one of these alternate names, the importer recognises it.

What happens next

  • Imported contacts appear in the currently selected group in Contacts.
  • Items count starts at 0 — newly imported contacts aren't yet attached to any reminder.
  • They become available to add as recipients on any reminder.
  • They don't receive a login invite — Contacts don't log in.

Edge cases & gotchas

  • No Group column. Group assignment comes from the selected group in the UI at import time. Plan accordingly.
  • Rows missing required fields are silently skipped. Make sure all rows have a name and at least one contact method.
  • Email CC (comma seperated) is the template's exact spelling. "seperated" — yes, that's the actual template label.
  • Country codes on mobile numbers matter for SMS and WhatsApp. Without them, those channels may not route correctly.
  • CCs in the template are per-contact CCs. When this contact is added to a reminder, their CC list auto-attaches.
  • Up to 5 CCs per contact. Beyond that, the import will truncate or reject the extras.
  • The import doesn't return a downloadable list of skipped rows. Verify your file is complete before uploading.
