Remindax only accepts a fully correct import file — it won't import good rows and skip bad ones. When you upload, a preview window shows each row colour-coded: green rows are good to go, while red or yellow rows show exactly where the error is. Fix the flagged cells in your Excel file and re-upload the corrected file. The most common problems are a date that doesn't match your workspace date format, a missing required field, or an invalid email.

Step 1 — Use the official import template

Always start from the current Remindax import template (.xlsx). Don't rename columns or move data between sheets. See Remindax import template — complete guide.

Step 2 — Match the required columns

A reminder import row uses these columns:

The four required fields are title, doc_type_name, reminder_type, and exp_date.

Step 3 — Fix the most common errors

Date format. exp_date must match the date format set in your workspace (Settings → General). Whatever format you've selected there is the format the import expects. A mismatch is the single most common cause of a rejected row.

Reminder type. reminder_type must be exactly expiration or due date.

Invalid email. Any address in email_csv must be well-formed (no missing @, no stray spaces). One bad address flags the row.

Document type. doc_type_name is free text and doesn't need to pre-exist — if the document type isn't already in your workspace, the import creates it automatically.

Step 4 — Read the colour-coded preview and correct the file

When you upload, Remindax shows a preview with every row colour-coded:

  • Green — valid, ready to import.
  • Red / yellow — an error, with the problem cell indicated.

There's no download of failed rows — the system accepts only a fully correct file. Open your Excel file, correct the flagged cells, and re-upload. Repeat until all rows are green.

Step 5 — Capacity

Imports add tracked items and contacts, which count against your plan limits (plus any add-ons). If an import would push you past your contact or tracked-item limit, free capacity first — archiving items excludes them from the tracked-item count — or add capacity, then re-import. What happens next

  • Once every row is green and you confirm, the reminders/contacts are created and begin following their assigned (or default) sequence.
  • Importing already-expired items creates them as Expired, which can lower your compliance %.

Edge cases & gotchas

  • All-or-nothing file: unlike some tools, Remindax doesn't import the good rows and skip the bad — fix everything to green first.
  • New document types are created automatically from doc_type_name, so a typo creates an unwanted new type — check spelling.
  • Date format follows Settings, not a fixed standard — if you change your workspace date format, your import file must match the new format.
  • No row limit — large files are fine.
  • Wrong company: imported data lands in the company/workspace you're currently in. Confirm the selector before importing.
