The Trello integration turns Remindax reminders into Trello cards on the board your team already works from. When a reminder rule fires, a card with the item's title, due date, notes, and a link back to Remindax shows up on the list you chose — ready to assign, comment on, and complete.

What it does

Each enabled reminder writes a card to a Trello board and list of your choice. The card carries enough context for whoever picks it up to know what's expiring, when, and where the source document lives. You can route different reminder types — contracts, licenses, certifications, insurance — to different boards or lists, so renewals land in the right team's workflow.

What's on each Trello card

  • Card name — the reminder title.
  • Due date — the reminder's expiry or due date.
  • Description — notes from Remindax (company, department, document type, status, any notes you added).
  • Link back to Remindax — open the source reminder in one click.

Before you start

  • You're an Administrator in Remindax (or have integration permissions).
  • You have access to the Trello workspace, board, and list you want to write cards to.
  • You can install the Power-Up on the target Trello board if your team's Trello plan requires it.

Connect Trello

  1. Go to Settings → Integrations → Trello.
  2. Click Connect Trello and authorise Remindax for your Trello workspace.
  3. Select the default board and list where new cards should be created.
  4. Save. Status switches to Connected.

Alternatively, install the Remindax Power-Up from the Trello marketplace and link it to your Remindax account from inside Trello.

Enable Trello on a reminder

Trello card creation is opt-in per reminder so you don't flood Trello with every item in Remindax.

  1. Open a reminder in Explorer.
  2. Toggle Create Trello card.
  3. (Optional) Override the default board/list for this specific reminder.
  4. Save. The card is created on the next sequence step — or immediately if you choose Send now.

Routing different reminders to different boards

Each reminder can override the workspace-wide default. Common patterns:

  • By document type — Insurance → "Insurance Renewals" board, Licenses → "Compliance" board.
  • By team — HR documents to the HR board, Finance contracts to the Finance board.
  • By urgency — high-value renewals to a dedicated "Critical" list watched daily.

How updates work

  • New trigger → a new Trello card is created.
  • Reminder edited → existing cards already on Trello are not retroactively updated; the next triggered step will reflect the change.
  • Reminder deleted → existing cards are not auto-deleted from Trello. Remove them manually if needed.
  • Card moved or closed in Trello → does not change anything in Remindax. Trello cards are work artefacts; Remindax stays the source of truth for the item itself.

Disconnect

  1. Go to Settings → Integrations → Trello.
  2. Click Disconnect. New cards stop being created.
  3. If you also want to revoke the Remindax authorisation in Trello, do that from Trello → Account → Power-Ups & Apps.

Security & privacy

  • Authorisation is via Trello's standard OAuth flow.
  • Remindax stores only the tokens it needs to write cards to the boards you choose. Tokens are encrypted at rest.
  • Remindax does not read other boards, lists, or cards in your Trello workspace.

Common use cases

  • Contract renewals as cards in a Renewals list, assigned to the contract owner.
  • Employee certifications (CPR, first aid, safety training) into an HR board.
  • Vehicle registration and insurance renewals into a Fleet board.
  • Audit-prep checklists generated from compliance reminders.

Edge cases & gotchas

  • Cards aren't auto-cleaned. If you delete a reminder or it gets renewed, existing Trello cards stay where they are. Use Trello's archive or complete behaviour to clear them.
  • One card per trigger. A multi-step sequence can create multiple cards over its lifetime — one per triggered step that has the Trello toggle on. Use the per-reminder settings to control which step fires the card.
  • Renaming a board or list in Trello can break routing until you reconfigure the destination in Remindax.
  • Trello Power-Up vs direct connection — both work. The Power-Up adds Remindax actions inside Trello cards; the direct connection is enough if all you need is one-way card creation.

Troubleshooting

  • Card not created → check that the reminder's Create Trello card toggle is on, the destination board/list still exists, and the integration status shows Connected.
  • "Board not found" → the board was renamed, archived, or you lost access. Pick a new default destination in Settings → Integrations → Trello.
  • Authorisation expired → reconnect from the Integrations page; Trello tokens occasionally need to be refreshed.
