Departments represent your internal team structure (HR, Finance, Legal, Operations…). Go to Manage → Departments to Create Department, Edit Department, Make Default, or Delete. A reminder is associated with the currently selected department when it's created (there's no department dropdown inside the reminder form). A department can't be deleted if it has any active items, Drive files, or contacts — and the default department can't be deleted from the UI.
Before you start
- You need Administrator access.
- Decide on a clean department list — typically 5–15 covering your real org structure.
- The default department is the one new reminders fall into when no other department is currently selected. You'll set it explicitly via Make Default.
Create a department
- Go to Manage → Departments.
- Click Create Department.
- Enter the department name.
- Save.
Edit a department
- Go to Manage → Departments.
- Find the department and click Edit Department (from the row action menu).
- Update the name.
- Save.
Renames apply everywhere automatically — reminders previously in that department continue to be in it under the new name.
Make a department default
- Go to Manage → Departments.
- Find the department you want as default.
- Click Make Default.
The default department:
- Is the destination for new reminders when no other department is explicitly selected at the moment of creation.
- Can't be deleted from the UI — Remindax requires a default to exist.
To change the default, simply Make Default on a different department first; the previous default loses that status and can then be deleted (if it has no dependent data).
Delete a department
You can only delete a non-default department that has no dependent data.
- Find the department, open its row action menu.
- Choose Delete.
- Confirm.
If the department has dependent data, the delete is blocked. Remindax tells you the department has dependent data and asks you to first delete the Explorer items, Drive files, and contacts that belong to that department.
If the department is the default, the UI does not allow delete. Make a different department the default first, then delete this one.
How users get access to a department
User access to departments is configured on the User Permissions page. For each user, in each company:
- Select the company.
- Choose permissions.
- Tick the departments the user can access.
- Save.
A user with no selected department in a company has access disabled for that company. See Users, Roles & Permissions.
How a reminder gets its department
When you create a reminder, it's associated with the currently selected department at that moment. There's no department dropdown inside the reminder form — the selection is contextual to where you are in the app.
To change a reminder's department, the simplest path is to work in the right department context at creation time.
What happens next
- New departments are immediately available for selection and for assigning user access.
- The default department determines where new reminders land if no other department is set.
- Edits propagate everywhere automatically.
Edge cases & gotchas
- Default department can't be deleted. Make a different department default first, then delete.
- Department with dependent data can't be deleted. Clear out items, Drive files, and contacts first, then retry.
- Department is set at creation time based on context, not via a form field. If your team works in the wrong context, items may land in the wrong department.
- User department access is per company. A user with multi-company access has independent department selections in each company.
- Departments are workspace-scoped. Each company has its own department list.
