When you create or edit a task, pick Assignee Type (User or Contact), then pick the specific assignee. The assignee gets an email notification on assignment (if they have a valid email). To reassign, open the task and change the assignee. Important: Remindax doesn't support bulk reassignment via multi-select, and removed users keep their assigned tasks — reassign manually before offboarding.

Assign at creation

  1. Open the task creation form (Tasks → New Task).
  2. Pick Assignee TypeUser (someone with a Remindax login) or Contact (someone external).
  3. Pick the specific user or contact from the dropdown.
  4. Save.

The assignee receives an email notifying them of the assignment.

Reassign an existing task

  1. Open the task.
  2. Change the Assignee Type if needed (User ↔ Contact), then change the Assignee.
  3. Save.

The new assignee receives an email; the old assignee no longer sees the task in their personal view.

Bulk operations

The Tasks list does not support multi-select with checkboxes for bulk reassignment, bulk status change, or bulk delete. To reassign many tasks, open and update each one individually.

If you have a large backlog to reassign (for example, when offboarding a team member), the workflow is:

  1. Filter the Tasks list to tasks assigned to the leaving user.
  2. Open each task and reassign it.
  3. After everything is reassigned, proceed with the user removal.

Assigning to a contact (external) — when it works

Tasks can flow to people outside your team via the Contact assignee type. This is useful when:

  • A vendor is doing work for you and you want to track it in Remindax.
  • A client needs to complete something (a form, a renewal) and you want the task captured.
  • An external consultant or contractor has accountability for an item.

The contact receives the assignment email at their email address. They don't log into Remindax — they receive the email and act on it externally. The task in Remindax serves as your internal tracking that the work was assigned.

Email behavior

  • On assignment (or reassignment): an email is sent to the assignee, if they have a valid email.
  • No in-app Inbox notification is generated for assignment separately from the email.
  • No per-user opt-out for assignment emails currently.
  • Notifications for due-date / overdue / status changes depend on the task's own notification configuration (set on the task itself).

What happens when a user is removed

If a user is deleted from Remindax, their assigned tasks are not automatically reassigned. The tasks stay attached to the removed user's ID, becoming effectively orphaned:

  • The tasks don't disappear — your audit log is intact.
  • They no longer show in anyone's active Tasks view, because the assignee no longer exists.

If you've already removed a user without reassigning, an Administrator can still find the orphaned tasks (e.g. through search or admin views) and reassign them to a new owner.

What happens next

  • After reassigning, the new assignee picks up the work from the current status.
  • The previous assignee is removed from the task — they no longer see it in their personal view.

Edge cases & gotchas

  • No multi-select / bulk reassign. Reassignments are one task at a time.
  • Removed users keep their assigned tasks. Reassign before removal, not after.
  • Reassignment doesn't reset status. A task in In Progress stays In Progress when reassigned — the new assignee inherits the current state.
  • Contact assignees don't log in. They receive the email and work externally. The task in Remindax tracks the assignment, not their progress per se.
  • Owner and Assignee are separate. Reassigning changes the Assignee but doesn't change the Owner. If you want to transfer accountability too, update Owner separately.
