AI SmartDoc scans an uploaded document and pre-fills a reminder's title, expiration date, document type, and custom fields — and it auto-selects the document type for you. If it extracted something wrong, correct the fields before saving; SmartDoc gives you a starting point, not a final answer. If a scan failed, the usual causes are an unsupported file, a file over the 25MB limit, or a document with no clear extractable data. Supported files are PDF, DOCX, JPG, and PNG, up to 25MB each.

If the extracted details are wrong

  1. Review every pre-filled field before saving — especially the expiration date and the auto-selected Document Type.
  2. Correct any wrong value directly in the form.
  3. Save once the fields are right.

SmartDoc extracts the title, expiry date, document type (auto-selected), and custom fields. Always verify the expiry date, since a wrong date would drive the entire reminder sequence off the correct schedule.

If the scan failed

Unsupported file type. Supported types are PDF, DOCX, JPG, and PNG. Other formats won't scan — convert the file or enter the reminder manually.

File too large. The limit is 25MB per file. Compress or split a larger file.

Blurry/low-resolution scan or photo. A sharper scan or a clearer photo (good lighting, flat document, no glare) extracts far better.

No clear data to extract. A document with no recognizable dates or identifiers may return little or nothing — fill the reminder manually.

Limits

AI SmartDoc is currently in beta, so usage limits are flexible. Defined per-plan limits will launch soon, and you'll be able to see your usage under My Settings.

Privacy

Document processing happens on AWS. SmartDoc scans the document and extracts the data there, and the AI works on it within that pipeline — the document is not handed directly to an external third party. The uploaded file is also attached to the item, so the document stays linked to its reminder for easy reference.

What happens next

  • After you correct and save, the reminder behaves like any manually created one and follows its assigned (or default) sequence.
  • The uploaded document remains attached to the item.
  • A failed scan creates no reminder; create it manually.

Edge cases & gotchas

  • Always check the date. A misread expiry date is the highest-impact SmartDoc error because it shifts the whole sequence.
  • Document Type is auto-selected — confirm SmartDoc picked the right one, since document type is mandatory and drives templates/reporting.
  • Re-scanning vs editing. For a single wrong field, editing in the form is faster than re-scanning.
  • 25MB ceiling and PDF/DOCX/JPG/PNG only — anything outside those won't process.
