This page lists on-screen messages Remindax shows, what each means, and what to do. If you're seeing a message not listed here, check the relevant Troubleshooting guide or reach support via Dashboard → Quick Links → My Profile → Contact Support — and tell us the exact wording so we can add it.
Maintainer note (remove before publishing or keep internal): Entries below describe the behavior behind each message. Where the entry doesn't quote the product's exact on-screen text, capture the verbatim string from the live product and add it as the entry heading — exact-match wording is the fastest lookup path for both users and the help assistant. Do not invent wording.
Messages
"Reminder may not be sent because the reminder date/time is in the past. Please change the date/time to a future date."
Where it appears: on a reminder sequence step, when configuring or editing a reminder.
What it means: that step's computed send time has already passed, so the step won't fire. This is expected behavior, not an error — it commonly appears when the expiration date is near, or when a "days before" value is large relative to how soon the item expires.
What to do: nothing is broken. Only steps whose send time is still in the future will send. If you want that notification to go out, reduce the "days before" value so the send time is in the future, set the step to fire "after" the date, or adjust the expiration date. See Why a step won't send.

Contact blacklist warning
Where it appears: next to a contact whose email address is on a blacklist.
What it means: the contact's email is flagged on a deliverability blocklist, so Remindax holds reminders to that contact to protect sending reputation.
What to do: if the address is legitimate, contact support to have it whitelisted; the contact then resumes receiving reminders. See Contact blacklist warning.

Import: row errors (colour-coded preview)
Where it appears: in the import preview window after you upload a file.
What it means: rows are colour-coded — green rows are valid, while red or yellow rows contain an error at the indicated cell. Remindax accepts only a fully correct file, so any flagged row blocks the import.
What to do: correct the flagged cells in your Excel file and re-upload. Common causes: a date that doesn't match your workspace date format, a reminder_type that isn't exactly expiration or due date, or an invalid email in email_csv. See Import failed or partial import.

Login locked out
Where it appears: at login, after repeated failed attempts.
What it means: the account is temporarily locked due to repeated failed logins.
What to do: wait one hour and try again with the correct credentials, or have an administrator set you a new password via Manage → Users → Edit → Change Password. See Login and access problems.

SmartDoc scan unsuccessful
Where it appears: after uploading a document to AI SmartDoc.
What it means: SmartDoc couldn't process the document.
What to do: confirm the file is a supported type (PDF, DOCX, JPG, PNG) and under 25MB, and that it's legible. Re-scan a clearer copy or fill the reminder manually. See SmartDoc extraction problems.

Plan limit reached (contacts / users / tracked items)
Where it appears: when you try to add a contact, user, or item beyond your plan's capacity.
What it means: you've reached your plan's limit for that resource (limits can be raised with add-ons).
What to do: free capacity — for tracked items, archiving excludes items from the count — remove unused contacts/users, or add capacity via add-ons. See How statuses work and Contacts vs Users.

Exact wording lets us document it precisely and helps the help assistant resolve it instantly next time. Reach support via Dashboard → Quick Links → My Profile → Contact Support.
