There are two different export mechanisms in Remindax. The main one is the Export page (sidebar → Reminders → Export), which produces a structured .xlsx workbook for a chosen folder and time period — with fixed columns including custom fields, document types, sequences, and Drive file IDs. The other is the Export Results button on table-style screens (Search Results, Archived Items, Recycle Bin), which offers Copy / Excel / PDF / Print of whatever is currently in that table. The main Explorer view doesn't have the "Export Results" button — use the Export page instead.

The Export page (main / structured export)

Use this when you want a complete, reliable spreadsheet of reminder data for backup, audit, or analysis.

Where to find it

Sidebar → Reminders → Export (icon: file-export). Access is controlled by the export_view permission.

Steps
  1. Open Reminders → Export.
  2. Set the scope:
    • Folder — choose a specific folder.
    • Include sub-folders — tick to include items in nested folders.
    • Deadline filter — choose All, 7 days, 30 days, 60 days, 90 days, Expired, or a Custom Date Range.
  3. Click Export.
  4. The .xlsx file downloads.
What's in the exported workbook

The workbook has multiple sheets:

For Expiration / Due Date rows:

  • Document ID
  • Title
  • Document Type
  • Reminder Type
  • Expiration / Due date
  • Reminder Sequence
  • Recipient emails
  • Email template
  • Attachment file IDs
  • Remarks
  • Repeat
  • Folder
  • Custom field label/value pairs (added at the end as needed)

For Appointment / Event rows:

  • Document ID
  • Title
  • Reminder Type
  • Start date/time
  • End date/time
  • Location
  • Reminder Sequence
  • Recipient emails
  • Email template
  • Attachment file IDs
  • Remarks
  • Repeat
  • Folder
  • Custom field label/value pairs

Supporting sheets: Document Types, Reminder Sequences, and Drive Files.

What the Export page does NOT use
  • Explorer's search text
  • Explorer's selected rows / checkboxes
  • Explorer's visible columns or the Columns picker

Its scope is entirely defined by folder + include sub-folders + deadline filter on the Export page itself.

The Export Results button (table screens)

Some table-style screens have a DataTables export button labeled Export Results that offers:

  • Copy — copy the visible table to clipboard.
  • Excel — download as .xlsx (visible columns only).
  • PDF — download as PDF (visible columns only).
  • Print — print the visible table.

This button is available on:

  • Search Results
  • Archived Items
  • Recycle Bin

It is not on the main Explorer table — main Explorer only shows the Columns button.

These table exports respect the currently visible columns in that table, so you can shape the output by adjusting columns first.

What happens next

  • The Export page produces a complete, structured workbook covering the filter you set.
  • The Export Results button gives you a quick capture of whatever's currently in a table screen.
  • Personal data caution: exports contain contact information; store and share them with the same care as any personal data.

Edge cases & gotchas

  • The main Explorer doesn't have "Export Results." Use the Export page in the sidebar instead.
  • Filtering Explorer doesn't filter the Export page output. The Export page has its own scope controls; setting filters in Explorer first is unnecessary.
  • Selecting rows in Explorer doesn't shape the export. The Export page ignores selection.
  • Visible columns shape the Export Results button, not the Export page. The Export page has fixed columns.
  • Archived items aren't in the Export page output by default. Use the Archived Items screen and its Export Results button to capture archived items.
  • Large exports can take a moment to prepare.
