Go to Settings → Reminder Sequence, expand the sequence you want to edit, and you'll see its steps. Use Add Reminder to add a new step, edit existing step fields inline, or remove a step. Each step has period + unit + before/after + hour for timing, plus email template and SMS template selectors. WhatsApp uses fixed templates per reminder type — it's not per step.

Before you start

  • You need the settings_view permission.
  • Understand that edits affect every reminder using this sequence going forward. Past notifications are not retroactively changed.
  • Know which reminders use this sequence (especially if it's the default) so you understand the blast radius.

Steps

  1. Go to Settings → Reminder Sequence.
  2. Find the sequence and expand it. You'll see its current steps.
  3. From here, you can:
Add a step

Click Add Reminder. Set:

  • Period — the number (e.g., 14)
  • Unit — days / weeks / months
  • Direction — before or after the expiry/due date
  • Hour — 24-hour notation for send time (e.g., 1000 HRS = 10:00 AM)
  • Email template — which template to use for this step
  • SMS template — which SMS template to use if SMS fires
Edit a step

Modify any of the fields above on the existing step row. Save the sequence.

Remove a step

Use the remove control on the step. Save the sequence.

Reorder steps

You can't manually reorder steps — there's no drag-and-drop or up/down arrows. Steps display and load in their saved row order. In practice this rarely matters because Remindax computes each step's send time independently from the reminder's expiration date.

How the timing fields combine

Each step's send time is calculated as:

(Reminder's expiration/due date) ± (Period × Unit) at (Hour)

Examples:

  • Period=30, Unit=days, Direction=before, Hour=1000 → sends 30 days before expiry at 10:00 AM
  • Period=2, Unit=weeks, Direction=before, Hour=0900 → sends 2 weeks before at 9:00 AM
  • Period=1, Unit=days, Direction=after, Hour=1400 → sends the day after expiry at 2:00 PM

Hours use the sequence's time zone — set this carefully if your team spans regions.

WhatsApp templates — fixed per reminder type

Each step has Email Template and SMS Template selectors. There is no WhatsApp template selector per step.

WhatsApp uses one fixed template per reminder type, mapped automatically:

This is because WhatsApp requires Meta-approved templates with fixed structure. The step controls when WhatsApp fires (via the timing); the content is the approved template for the reminder type.

How channels actually fire (template vs checkbox)

The Email Template and SMS Template fields on a step pick which template to use IF the channel fires. They don't control whether the channel fires.

What controls firing:

  • Email fires if the recipient on the reminder has Email ticked.
  • SMS fires if the recipient has SMS ticked AND has a mobile number.
  • WhatsApp fires if the recipient has WhatsApp ticked AND has a mobile number.

To suppress a channel on a step, you don't blank the template — you uncheck the channel for the recipient on the reminder. Templates determine content; recipient channel checkboxes determine sending.

What happens next after editing

  • The new step configuration takes effect for future sends. Already-sent notifications aren't resent.
  • For each reminder using this sequence, Remindax recomputes step send times against each item's expiration/due date.
  • Steps whose computed send time falls in the past show the "may not be sent because the date is in the past" warning on the relevant reminder — that step is skipped, by design. See Why a step won't send.

Edge cases & gotchas

  • Editing the default sequence is workspace-wide. Every reminder using it picks up the new schedule on its next computation.
  • Changing a step's offset can move it into the past for items expiring soon — confirm the warning is acceptable on those items.
  • The send time uses the sequence's time zone, not the recipient's local time.
  • Removing a step doesn't undo what it already sent — only future occurrences stop.
  • Step order in the form = saved order. No drag-and-drop reordering. The actual firing order is determined by timing computation, not row position.
  • Email Template / SMS Template select content, not whether to send. Channel firing is controlled at the reminder's recipient level.
  • WhatsApp is not per-step. It's a fixed template per reminder type. The step's timing decides when WhatsApp fires; the content is the approved template.
