Go to Manage → Contacts and click the Export button. Options are Copy, Excel, PDF, or Print. The export captures the current table view — search and filter results, only the columns currently visible. If you want a clean re-import (e.g., for moving contacts to another company), reformat the export into the import template structure first.

Steps

  1. Go to Manage → Contacts.
  2. (Optional) Filter or search to narrow the table to the contacts you want.
  3. (Optional) Use the Columns button to hide columns you don't want in the export.
  4. Click Export.
  5. Choose your format:
    • Copy — copies the data to clipboard
    • Excel — downloads as an Excel (.xlsx) file
    • PDF — downloads as PDF
    • Print — opens the print dialog

What the export includes

The export reflects the current state of the table:

  • Filtered results only — if you've narrowed via search or filters, the export contains only those rows.
  • Visible columns only — columns you've hidden via the Columns button are not exported.
  • Sort order matches the current view.

What the export doesn't honor

  • Checkbox selection. Even if you've ticked specific contacts via checkboxes, the export ignores the selection. (Checkboxes are used for bulk delete, not for export.) To export a specific subset, use filter or search to narrow the table first.
  • Hidden columns. If you want a column in the export, make sure it's visible in the table first.

Using export for migration to another company

If you want to move contacts to a different company (or back up for re-import):

The exported file is NOT a clean re-import template. It can include table-only fields the import template doesn't expect:

  • Item count column
  • User / created by column
  • Actions column
  • Other UI-specific columns depending on what's visible

To re-import cleanly, you need to reformat into the import template structure first:

  1. Export the contacts as Excel.
  2. Open the import template (downloadable from the import action in Contacts).
  3. Copy the relevant fields from the export into the template's columns: First Name, Last Name, Email, Country, Mobile Number, Email CC (comma seperated).
  4. Switch to the destination company (or group, within the same company).
  5. Run the import using the reformatted file. See Bulk import contacts.

This is a manual transformation step — Remindax doesn't auto-convert exports to imports.

Export use cases

  • Backup — periodic Excel exports of your contact list, for record-keeping.
  • Reporting — exporting filtered subsets (e.g., contacts in a specific group) for stakeholder reports.
  • Migration to another company — when you need contacts in a different workspace (after reformatting per above).
  • Archive before delete — exporting before doing bulk cleanup, so the historical record is preserved.

What happens next

  • The export file is on your computer (or in the print dialog / clipboard).
  • The export is a static snapshot — re-running the export later reflects the table's state at that time.
  • The contacts in your workspace are unchanged by export.

Edge cases & gotchas

  • Export uses the table view, not selection. Filter/search first to narrow.
  • Hidden columns aren't exported. Show what you want exported before clicking Export.
  • Export ≠ import template format. Reformat into the import template columns before re-importing elsewhere.
  • PDF exports are visual snapshots — they don't preserve sortable structure if used for re-import (Excel is the better format for data work).
  • No native scheduled exports. If you want recurring exports, do them manually on your cadence.
  • The CC information in exports appears as listed in the contact's Contact CC field, comma-separated.
