Drive supports Create File Link — saving a URL as a Drive entry instead of uploading the file itself. Useful when the document already lives in Google Drive, Dropbox, OneDrive, SharePoint, or any web location and you want to reference it from a Remindax reminder without re-uploading. If the URL is a Google Drive link, the row shows a Google Drive icon. Remindax doesn't store or sync the file — it stores the link.

Before you start

  • You need Administrator or Editor access with the relevant Drive permissions.
  • Have the shareable URL to the file ready. For Google Drive / OneDrive / Dropbox, make sure the file is set to "anyone with the link can view" (or shared with the people you expect to access it).

Steps

  1. Open Drive.
  2. Drill into the folder where the link belongs.
  3. Click + New → Create File Link.
  4. Paste the URL of the file.
  5. Add a name so the link is recognisable in Drive.
  6. Save.

If the URL is a Google Drive link, the row appears with a Google Drive icon so it's distinguishable from a native uploaded file. The same is true for other recognisable sources where supported.

What happens next

  • The file link appears in the Drive folder like any other Drive row.
  • It can be attached to one or more reminders as an attachment.
  • Opening the link from Drive (or from a reminder it's attached to) takes you to the original URL.
  • The file itself stays at the original URL — Remindax doesn't copy or sync content.

Important: links are references, not stored files

  • Remindax doesn't store the file. Only the URL is saved.
  • Storage is unaffected. A link doesn't count against your company's Drive storage in the way a native upload does.
  • Permissions live at the source. Whoever you've shared the file with at Google/Dropbox/etc. is who can open it. Remindax doesn't override the source's sharing rules.
  • Outages or permission changes at the source affect the link. If the file is moved, deleted, or the share permission is revoked at Google/Dropbox/etc., the link will fail when opened from Remindax.

Why not a full Google Drive account connection?

There's currently no OAuth-based Google Drive account connection in Remindax's Drive — that means no automatic file discovery, no permissions syncing, no folder mirroring. The supported model is the lighter Create File Link approach: paste a URL, save it as a reference.

This is separate from Google Calendar integration, which does exist as a real OAuth connection for calendar sync (under My Settings).

What happens next

  • The link is now available as a Drive entry to attach to reminders.
  • Treat it like any other Drive row — move it to a different folder, rename it, or delete it from the row's menu.

Edge cases & gotchas

  • No content syncing. Editing the file at the source doesn't update anything in Remindax — the link still points to the same URL, and you'll see the source's latest version when you open it.
  • Permissions don't flow through. If the Google Drive file is private, a Remindax teammate clicking the link will hit Google's permission gate. Make sure the link is shared appropriately at the source.
  • Renaming at the source doesn't rename the Remindax link, since Remindax stores the link, not metadata about the file.
  • For audit purposes, a uploaded native file is more durable than a link — links break when files are moved or unshared. For compliance-critical documents, consider uploading the file directly to Drive.
  • Delete a file link the same way as any Drive item — its menu → Delete. Deletion removes the link from Drive and from any reminders that referenced it. The original file at the source URL is unaffected.
