In Explorer, tick the checkboxes next to multiple reminders, and the bulk action toolbar appears above the table. From there you can Move, Delete, Archive, Update Tags, Activate/Deactivate Items, or change their status to Completed or Pending Action — all in one go. Some changes (sequence, recipients, the reminder's title or dates) aren't bulk-editable and require opening each reminder individually.

Selecting items

In Explorer:

  1. Tick the checkbox next to each item you want to act on.
  2. The bulk action toolbar appears above the table.

Available bulk actions

The bulk toolbar in Explorer includes:

  • Move Selected — move items to a different folder.
  • Delete Selected — move items to the Recycle Bin (confirmation dialog appears).
  • Archive Selected — archive items (removes from Explorer, kept in Archived Items view).
  • Update Tags — add or replace tags across selected items (see below).
  • Activate/Deactivate Items — pause or resume reminders.
  • Bulk status update to Completed — mark items as Completed.
  • Bulk status update to Pending Action — mark items as needing follow-up.

The Update Tags action (with a gotcha)

Bulk tag editing has a specific behaviour you need to understand:

When you open the Update Tags modal, you'll see a checkbox: Replace existing tags, which is checked by default.

  • Checked (default): the tags you select replace the existing tags on each selected item. Items lose their existing tags and end up only with the ones you picked.
  • Unchecked: the tags you select are added to whatever each item already has. Existing tags are preserved.

This is the most common bulk-edit mistake. If you intend to add tags without losing existing ones, uncheck "Replace existing tags" before confirming. If you mean to standardise tags across items (overwriting any inconsistent ones), keep it checked.

Removing only one tag in bulk

There's no surgical "remove only this one tag, keep others" bulk action in the Update Tags modal. To bulk-remove a specific tag:

  • Identify the tags you want to keep on each item.
  • Use Update Tags with Replace existing tags checked.
  • Select only the tags you want to remain.

This effectively removes anything you don't include. Works fine when the kept-tags list is short and consistent across selected items.

What's NOT available in bulk

Bulk editing has real limits — these changes require opening each reminder individually:

  • Change reminder sequence.
  • Change recipients (who receives the notifications).
  • Edit title, dates, custom fields, notes.

If your workflow needs these changed across many items, plan to do them one at a time, or rebuild via import/export.

Bulk Export — where it lives (and where it doesn't)

The main Explorer bulk toolbar does NOT include a bulk Export action. Selecting items in Explorer and looking for an "Export Selected" button — that doesn't exist.

What DOES exist:

  • The main Explorer table has a Columns button (for showing/hiding columns).
  • Other table views — Search Results, Archived Items, Recycle Bin — have an Export Results button. That export is for the table's current view, not just selected items.

So if you need to export a specific subset:

  • Filter in Explorer's Search to narrow down → switch to Search Results view → Export Results.
  • Or use the Export Data page in the sidebar for a fuller scope-based export (folder + sub-folders + deadline range).

The selected-items bulk export doesn't exist.

What happens next

  • Bulk changes apply immediately to all selected items.
  • The bulk action toolbar disappears once items are deselected.
  • Compliance %, Dashboard counts, and Reports update to reflect the changes.

Edge cases & gotchas

  • "Replace existing tags" is checked by default. This is the most common bulk-edit surprise. Uncheck to ADD without removing.
  • Bulk move can include folders. If you select folders, their contents move with them.
  • Bulk delete confirmation specifies "moved to Recycle Bin" — no permanent deletion in bulk; that requires Empty Recycle Bin separately.
  • Bulk delete with folders containing subfolders/items prompts a recursive delete confirmation. Be deliberate.
  • No bulk sequence or recipient change. Open each reminder.
  • No bulk export from Explorer. Use Search Results view's Export Results, or the Export Data page in the sidebar.
  • Bulk Activate/Deactivate respects the same chain effects as the single-item version — past-dated notifications stay past, future ones resume on activate.
