The Reports module gives you structured views of your data — by reminder, by document validity, by activity, by replies, by document type, by user permissions, and (for fleet customers) by fleet compliance. Reports are accessed from the Reports module in the sidebar, shown as a flat card list. Each report has its own filters and (where supported) export options. The single permission report_view gates access to all reports — there are no per-report permission keys.

The seven reports

  1. Reminders Report — view reminders by status (All, Scheduled, Sent, Failed) over a date range. Useful for "what notifications went out this week?" type questions. Export: Print.
  2. Document Validity Report — view items by validity status (All, Expired, Valid) over a date range. Useful for compliance snapshots. Export: Copy, Excel, PDF, Print.
  3. Fleet Compliance Report — for fleet customers, view vehicles by compliance status and vehicle type. Filterable by search, compliance status, and vehicle type. No export buttons currently.
  4. Reminder Replies Report — recipient replies on reminders over a date range, filterable by contact. Useful for tracking renewal confirmations. Export: Copy, Excel, PDF, Print.
  5. Activity Report — workspace events over a date range (renewals, edits, status changes). Useful for audit trails. Export: Copy, Excel, PDF, Print.
  6. User Permissions Report — a snapshot of users and their permissions. Useful for security audits. No active filters, no export.
  7. Document Types Report — view items grouped by document type. Export: Copy, Excel, PDF, Print.

What's not currently a separate report

A few things you might expect to find as their own reports — but aren't:

  • Tasks Report — there isn't a dedicated Tasks report in the Reports module. Use the Tasks list view with filters instead.
  • Export History — there's no audit of past exports.
  • Login / Security Report — no separate login activity report.
  • Compliance % over time — Compliance is a Dashboard KPI; the Document Validity Report is the closest report-form view.

Use Reports for "what did the team do over [period]?" Use Explorer Export Data for "what items do I currently have, with all their details?"

How reports work

  • Filters live in the URL. This means browser back-button and bookmarks preserve your filter selections — useful for shared report URLs. A fresh visit usually resets to defaults (e.g. current month).
  • Reports don't auto-update on filter change. Click the View Report / Run / etc. button to apply filters and load data.
  • Table state is saved per browser (visible columns, search, sort) where the report uses a data table — so your column choices persist across sessions in the same browser.
  • Date pickers are two date inputs with a "TO" separator — there are no preset buttons like "Last 7 Days" or "Last 30 Days" currently.

Who can view reports

A single permission, report_view, gates access to the entire Reports module. There are no per-report permission keys.

  • Master users (Owner and Privileged Administrator) have report_view by default.
  • Editors need it granted via their Permissions screen.

What happens next

  • Open a specific report from the Reports module.
  • Set the date range (and any report-specific filters).
  • Click View Report / Run to load data.
  • Use the table's export controls (where available) to share or archive.

Edge cases & gotchas

  • Reports are per-company. Switching the top-right company selector switches the report data shown.
  • No auto-refresh. Reports don't continuously update; they load on Run and stay static until you re-run.
  • Filter URL preservation = shareable links. Send a teammate a report URL with your filters, and they'll see the same filtered view (if they have report_view).
  • Export formats vary by report. Most reports support Copy / Excel / PDF / Print via the data table's button row. Reminders Report has Print only. Fleet Compliance and User Permissions have no export buttons.
  • No CSV export. Excel is offered; CSV isn't a separate option in the current product.
  • No report scheduling from these pages. The only scheduled report-like feature is a weekly expiry summary email under Email Preferences — see Run and export a report.
